Reception and shop sales

For day passes, equipment or refreshments, discuss where people pay and whether the sale needs to be recorded through EPOS. A terminal at reception does not automatically update a member's access or class booking; those connections must be checked separately.

Bring the membership system into the discussion

Before selecting equipment, list your booking platform, membership software and any access-control system. Decide what each system should do and which connections are essential. A useful demonstration should follow a new customer through booking, payment and the record your team sees afterwards.

Also check the exceptions: a failed repeat payment, a cancelled class, a frozen membership or a refund. Ask who owns each step and what the selected payment service actually supports. Software, integration and processing charges should be clear in the proposal.

For personal trainers working across venues, include the connection available at each location and whether clients usually pay in person or before a session. You may need a different arrangement from a staffed reception desk.
